A sample often decides whether a relationship with a factory continues, yet it travels a different route from a full order: a small parcel, an express carrier, and a customs officer who sees a bottle of oil with no context. When a sample arrives leaking or sits in clearance for weeks, the factory can be judged unfairly. This guide explains how to prepare, ship and receive an argan oil sample so both sides are protected.
Why a sample is not a mini order
A full order usually goes through a freight forwarder, a customs broker and complete paperwork. A sample goes to an express courier and is handled as an individual parcel, which adds points of failure:
- several sorting hubs, with pressure and vibration;
- carrier rules on liquids that differ by company and destination;
- customs may ask for a description, value and tariff code even on a small parcel;
- no broker follows the file, so you and the factory must track it.

Step 2: packaging that prevents leaks
Argan oil is not volatile, but one leak contaminates the whole parcel. Ask for:
- a tight cap with a seal or induction liner;
- an individual leak-proof bag;
- absorbent material inside the bag;
- cushioning inside a rigid box so the bottle never touches the wall;
- a label with batch number, product name and preparation date.

Step 3: the paperwork
- Invoice (commercial or proforma) clearly stating the goods are samples, with the true description, quantity and declared value. Never disguise what the parcel contains.

- Safety data sheet if the carrier requests it.

Step 4: choose the carrier and route
- Does the carrier accept cosmetic liquids to your country? Get the answer in writing.
- What is the estimated transit, including clearance?
- Who pays duties and taxes, if any? Agree before shipping.
- Is tracking shared with the factory?
Step 5: document on the factory side
- a photo of the bottle, label and batch number;
- a photo of the closed parcel and its weight;
- the tracking number and dispatch date;

On arrival: how to inspect
- Photograph the parcel before opening it.
- Open it over a clean surface and check the seal, cap and any trace of oil.
- Match the batch number to the documents and COA.

- Record observations immediately and send them with photos.
